A commercial HVAC preventive maintenance checklist should produce more than checked boxes. It should expose trends before failure, preserve comparable measurements and give the customer a report that is easy to understand.
The U.S. Department of Energy recommends regular professional HVAC maintenance and cleaning or replacing system filters. Its operations and maintenance guidance also emphasizes planning, performance tracking and matching HVAC schedules to building needs.
1. Preparation and safety
- Confirm the equipment, location, model and refrigerant.
- Review equipment alerts and previous service history.
- Apply site-specific lockout, PPE and access procedures.
- Record outdoor conditions and current building load.
2. Airflow and heat transfer
- Inspect filters, belts, fans, grilles and accessible ductwork.
- Check coil cleanliness and fin condition.
- Inspect the drain pan, drain and signs of water or biological growth.
- Measure delta T only when operating conditions make the result meaningful.
3. Electrical and controls
- Visually inspect conductors, contactors, relays, capacitors and protection devices.
- Measure voltage and current using safe procedures.
- Check accessible connections according to specifications.
- Test thermostats, sensors, sequences, alarms and relevant setpoints.
4. Refrigerant circuit
- Look for leak indicators without diagnosing charge from one symptom alone.
- Record suction/discharge pressures and line temperatures under stable operation.
- Calculate superheat and subcooling using the system type and manufacturer method.
- Observe the compressor, piping, insulation, vibration and apparent oil return.
5. Heat rejection, heating and accessories
- Inspect the condenser, airflow or water flow and heat-rejection conditions.
- For combustion equipment, leave regulated work to qualified personnel and follow local requirements.
- Check installed humidification, energy recovery, pumps and accessories.
6. A service report customers can use
The report should separate four things: measured, observed, corrected and recommended. Include photos, before/after readings, parts used, observed risks and the proposed next visit. Avoid vague conclusions such as “everything looks good” without supporting data.
