FrigoTechPro is committed to protecting your personal information in accordance with Quebec's Act respecting the protection of personal information in the private sector (Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). PIPEDA is the governing framework for users located in other Canadian provinces.

2. Information Collected
Depending on your use of FrigoTechPro, we may collect the following information:
Users (technicians, businesses, students):
- Full name
- Email address
- Password (stored in hashed form, never in plain text)
- Role within the application
Clients (registered by the technician):
- Business name and contact information (address, phone, email)
- Equipment information (brand, model, serial number)
- Work order and invoice history
Contact form:
- Name, company, phone, email, message
3. Use of Information
Your information is used exclusively to:
- Provide and maintain the FrigoTechPro service
- Manage your account and authenticate your identity
- Generate work order reports and invoices
- Send temperature alerts and notifications
- Respond to your contact requests
- Improve the service
We never sell, lease, or share your personal information with third parties for commercial purposes.
4. Hosting and Transfers of Personal Information Outside Quebec
In accordance with article 17 of Quebec Law 25, we inform you that your personal information may be hosted or processed outside Quebec by the following service providers:
- Application and database hosting: Render, Inc. (United States)
- Transactional email delivery: Resend, Inc. (United States)
- Subscription payment processing: Stripe, Inc. (United States, PCI-DSS compliant)
- Artificial intelligence features (AI assistant, nameplate analysis): Anthropic, PBC (United States) — see section 4.2
We have conducted a privacy impact assessment prior to these transfers. These providers are bound by their own contractual commitments to protect personal information. By creating an account and accepting this policy, you consent to these transfers outside Quebec.
4.1 Security Measures
- Encryption in transit: All communications are encrypted via SSL/TLS (HTTPS)
- Passwords: Stored as cryptographic hashes (Werkzeug/bcrypt). We never have access to your plain-text password
- Private messages: Encrypted with AES-128 before insertion into the database
- Backups: Automatic daily database backups
- Access: Data access is restricted through a role-based system (technician, business, student, admin)
- Logging: Logins, password changes and access to sensitive data are logged
4.2 Artificial Intelligence (AI assistant and nameplate analysis)
Certain optional features — the AI assistant and photo-based nameplate analysis — use the Claude API from Anthropic, PBC (United States). When you use them:
- The questions you ask and the images you submit (nameplate or field photos) are transmitted to Anthropic for processing.
- Images are not retained by FrigoTechPro after analysis: they are processed in memory and then destroyed.
- No transmitted data is used to train artificial intelligence models.
- By using these features, you consent to this transfer outside Quebec and outside Canada.
5. Data Retention
- User accounts: Retained as long as the account is active. Deleted upon request.
- Work order and invoice data: Retained for 7 years in accordance with Quebec tax obligations.
- Contact requests: Retained for 1 year, then deleted.
6. Your Rights (Quebec Law 25)
Under Quebec Law 25, you have the right to:
- Access: Request a copy of the personal information we hold about you
- Rectification: Request correction of inaccurate information
- Deletion: Request deletion of your information (subject to legal retention obligations)
- Withdrawal of consent: Withdraw your consent at any time by closing your account
- Portability: Obtain your data in a structured format (CSV)

7. Student Version
The Student version of FrigoTechPro is free and intended for students enrolled in vocational training programs (DEP, CFP, CEGEP).
- Only the student's name and email are collected
- No client, work order, or invoicing data is collected for student accounts
- The student registers themselves and is responsible for their own consent
- Student accounts may be deleted at any time by the student from their profile
- For students under 14 years of age, parental consent is required under Law 25
8. Cookies
FrigoTechPro uses only session cookies that are strictly necessary for the application to function:
- Flask session: Keeps you logged in. Deleted when you close the browser or log out.
- Language preference: Stores your FR/EN selection.
We use Plausible Analytics for anonymous, aggregated audience measurement on public pages. The standard Plausible script does not set cookies, does not create a persistent identifier, and is not used for advertising retargeting. The server also keeps minimized visit statistics (page, truncated browser, truncated referrer, and anonymized IP address) to understand website usage.
8.1 Cookies and Advertising
On public pages only, FrigoTechPro may use the Meta Pixel for advertising measurement and retargeting, only after your explicit consent. This conditional advertising tracking is separate from anonymous cookieless Plausible audience measurement. If you decline or have not made a choice, the Meta Pixel and third-party advertising scripts are not loaded.
When you accept, standard events such as
PageView and
CompleteRegistration may be transmitted to
Meta Platforms. No email address, name, or other personal information entered in FrigoTechPro is sent to the pixel. Meta Platforms may process this data outside Quebec and Canada, consistent with the cross-border transfer section above.
You can withdraw or change your consent at any time using the
Manage cookies link in the footer.
9. Changes to This Policy
We may update this privacy policy from time to time. In the event of a significant change, we will notify you by email or through a notification within the application. The date of the last update is indicated at the top of this page.

Confidentiality Incidents
In accordance with Quebec's Law 25, FrigoTechPro commits to:
- Maintaining a confidentiality incident registry involving personal information
- Notifying the Commission d'accès à l'information (CAI) — as well as the Office of the Privacy Commissioner of Canada (OPC) for users in other provinces — of any incident presenting a serious risk of harm
- Notifying affected individuals when an incident presents a serious risk of harm
- Taking reasonable measures to reduce risks and prevent future incidents
